1. Module overview

PropalQR ("Quotation signature by QR code") adds a QR code next to the online-signature link of your Dolibarr commercial proposals (quotations). In practice, the client no longer has to retype an address or hunt for a link in an email: they scan the QR code with their phone's camera and land directly on the quotation's online signature page. It is a shortcut that speeds up the acceptance of a quotation, particularly during a meeting or when handing over a paper document. The module creates no new data and replaces nothing: it relies entirely on Dolibarr's native objects. The QR code simply encodes the online signature URL that Dolibarr already provides for the proposal. It therefore works wherever your quotation already lives: on the proposal record, in the generated PDF, and in the emails sent from Dolibarr.

2. QR code on the proposal record

On a quotation screen, the module adds an "Online signature QR code" box below the proposal details, next to the signature link that is already there.

  • Displays a block containing the title, the public signature link (clickable) and the QR code image
  • The QR code encodes the address of the quotation's online signature page
  • The box appears only on the normal quotation view (not while preparing an email), so as not to slow the screens down
  • The staff member can have the client on site scan the code directly from the screen

3. QR code on the proposal PDF

When Dolibarr generates a quotation PDF, the module adds a block with the signature QR code, handy for a quotation that is printed or sent as an attachment.

  • Adds the QR code to the quotation PDF produced by Dolibarr (the spelled-out link is not repeated on the PDF)
  • The block position (X and Y coordinates, in millimetres) can be adjusted in the configuration
  • The colour of the QR code and its title follows the chosen accent shade
  • You choose which pages it appears on: the first only, all of them, or the last only
  • The client scans the QR code on the paper or PDF document to open the online signature on their phone

4. QR code and link in emails

The module provides two "merge fields" (substitutions) that you can insert into your Dolibarr email templates to embed the QR code or the signature link.

  • __PROPAL_SIGNATURE_QRCODE__: inserts the QR code image into the body of the email
  • __PROPAL_SIGNATURE_QRCODE_URL__: inserts the public signature link (useful if the client blocks image display)
  • The QR code image is generated on demand, so as not to slow the opening of the "Send email" form
  • These fields go into email templates, like the other Dolibarr variables

5. Module configuration

The module adds a "Propal QR" entry to the menu and a settings page. No setting is mandatory: the default values are suitable in most cases.

  • QR position on the PDF: X coordinate (from the left edge) and Y (from the top), in millimetres; leaving it blank keeps the automatic placement
  • Visual preview: a page mock-up (a Cyan template specimen) shows in real time where the QR code will land as you adjust X and Y
  • Accent colour: 6 shades offered (Ink black, Ocean blue, Emerald green, Purple, Amber orange, Carmine red)
  • QR display on the PDF: first page only, all pages, or last page only
  • "Save" and "Reset to default position" buttons to return to the original settings

6. When the QR code is shown

The QR code appears only when signing makes sense, to avoid offering an inactive link.

  • Online signature of proposals must be enabled in Dolibarr
  • The proposal must no longer be in draft status (the quotation must be validated)
  • If these conditions are not met, no QR block is displayed or added to the PDF
  • The module handles multi-company (multi-entity) environments to compute the correct public address

7. Links with Dolibarr

The module does not work in isolation: it integrates with the native building blocks of Dolibarr.

  • Commercial proposals (quotations) : The module depends on the native Commercial Proposals module: the QR block is added on the quotation record and its PDF, without changing the structure of proposals.
  • Dolibarr online signature : The QR code encodes the online signature URL provided by Dolibarr. Online signature of proposals must therefore be enabled. The module exposes nothing more than this public link already sent to the client.
  • PDF generation : The module hooks into the native PDF generation (proposal templates) to place the QR block there, at the position and on the pages you choose.
  • Email templates (substitutions) : It provides two merge variables (__PROPAL_SIGNATURE_QRCODE__ and __PROPAL_SIGNATURE_QRCODE_URL__) reusable in Dolibarr email templates, like the other standard fields.
  • Customers / recipient third parties : It is the customer receiving the quotation who scans the QR code to sign online; the module smooths this journey without creating any extra record or data.
  • Document status : The behaviour follows the proposal's native status: the QR is offered only for a validated quotation (never for a draft).
