1. Module overview

DoliHotel turns Dolibarr into complete hotel management software for independent hotels, tourist residences, aparthotels and guest houses. Everything that gets invoiced — room nights, board, extras, seminar rooms, services — stays a native Dolibarr product or service: there is no bridge to keep an eye on, and no double entry.

  • A dedicated Hotel menu bringing together bookings, on-site work (housekeeping, incidents, maintenance jobs, meters, staff), seminars, leisure facilities and settings.
  • A dashboard where every figure is clickable: arrivals and departures of the day, guests in house, rooms free and rooms to clean, incidents, compliance deadlines, tax to remit.
  • An optional public booking funnel, which your guests use without a Dolibarr account.
  • Five languages (French, English, German, Spanish, Italian) and no text fixed in the code.

2. The dashboard

The module's home screen, designed for the front desk.

  • The counters along the top give the state of the day: arrivals, departures, guests staying tonight, free rooms out of the total, bookings to confirm, rooms to clean, housekeeping tasks, open incidents and French tourist tax to remit.
  • Each counter is a link: clicking "To clean" opens the housekeeping list already filtered, clicking "Arrivals" opens the day's arrivals screen.
  • Two tables complete the view: the next arrivals with their room, and the day's occupancy by status with the occupancy rate.

3. Booking at the desk and online

The booking engine in three steps.

  • At the desk: you enter the dates, the room type and the party (adults, children, infants), then the search shows only the rooms that are genuinely free; a double-booking check rules out any overlap.
  • The price is worked out live from the extras, the board formula and the rate plan chosen; a temporary hold protects availability while the booking is being entered.
  • Online: the public funnel presents the rooms with their photos and their amenities, checks identity with a one-time code under double consent, and creates the customer record when the booking is confirmed.
  • Two limits protect the funnel: maximum length of stay and maximum booking lead time, both configurable.

4. The floor plans

A picture of the property, level by level.

  • You upload one plan image per floor from the settings, then position each room on it with the built-in editor.
  • The floor bar moves from one level to the next; each room shows its status on the date being viewed: free, on option, occupied, blocked, to clean.
  • A tooltip gives the room type, the bedding, the amenities and the stay in progress. Common areas appear on the same plan.
  • Everything is displayed locally, with no call to an outside service.

5. Rooms, types, bedding and amenities

Describing what you sell.

  • Room types (single, double, twin, family, suite and so on) carry the rate, the capacity and the French tourist tax category.
  • Bedding is described bed by bed: twelve types with their dimensions, from the single bed to the extra-large double, sofa bed, bunk beds, extra bed and cot. The total sleeping capacity is worked out on its own.
  • A catalogue of 51 amenities split into 7 groups (view, bathroom, television, drinks, comfort and so on) describes each type.
  • Room photos are uploaded on the room type record and feed the gallery, the plan tooltip and the public funnel.

6. Rates, seasons and rate plans

The price of a night, and its commercial variants.

  • The base rate is entered directly on the room type record; seasons and the rate grid override it over their own periods.
  • Prices are entered and displayed including tax, while still being stored excluding tax, as accounting requires.
  • Rate plans derive from the reference rate: flexible, non-refundable, long stay, early booking, distributor rate with its commission shown on the quotation.
  • Each plan carries its eligibility conditions (minimum length, lead time, channel); a plan that is not eligible is refused along with the reason, at the desk as well as online.

7. Board formulas

From breakfast to all-inclusive.

  • Five formulas are supplied: room only, breakfast, half board, full board, all-inclusive.
  • Board is invoiced per paying person and per night, with a reduced rate for children expressed as a percentage.
  • When the formula includes alcoholic drinks, their share is set apart on a separate line at the 20% rate, the rest following the catering rate.
  • Board is left out of the base used for the French tourist tax, as the regulations require.

8. Seminars and meeting rooms

Selling something other than room nights.

  • Each room carries seven seating configurations (theatre, classroom, U-shape, cocktail and so on) and twelve pieces of equipment.
  • It is let by the hour, the half day or the day, or as a study-day package invoiced per participant, with an automatic split between the room and the catering.
  • Bookings are placed on a weekly schedule; a check prevents two bookings on the same slot.
  • Quotation and invoice are generated natively, with the VAT rate that belongs to each line.

9. Arrivals, departures and housekeeping

The working day.

  • The arrivals / departures screen runs through the check-ins and check-outs of the day.
  • Housekeeping is planned room by room and followed on the housekeeper's side, with a progress status.
  • Incidents and maintenance jobs are recorded on the room concerned.
  • Water, electricity and gas meters are read for residential stays.

10. The French tourist tax

Calculated on its own, on the hotel scale.

  • The scale depends on the category: palace distinction, 5 stars down to 1 star, or unclassified at a capped percentage.
  • The additional departmental share is added automatically.
  • Minors are exempt; an occupant with no age recorded counts as an adult.
  • A summary statement gives the amount to remit at any time, and the detail for each stay.

11. Invoicing: quotation, deposit, balance

The commercial chain, entirely native.

  • From the stay record: a quotation to send and have signed, a deposit invoice when it is confirmed, then a balance invoice on departure that deducts the deposit.
  • The deposit percentage and the moment it is triggered are set in the configuration.
  • Everything that can be invoiced is a native Dolibarr product or service: room nights, board, extras, meeting rooms, services.
  • As the invoice is native, it follows the usual chain of your Dolibarr, including being issued in Factur-X format to a French e-invoicing platform.

12. Police registration forms

The French obligation when welcoming foreign travellers.

  • The form is filled in at check-in and attached to the stay.
  • It is kept for the period the regulations require, and every time it is viewed the access is logged.
  • Accompanying minors appear on the form of the adult they are travelling with.

13. Compliance register

Thirty-one obligations followed, with their deadlines.

  • The register covers the obligations specific to hotels: French public-access building of type O, fire safety system, hot water systems, food hygiene, drinks licence and operating permit, defibrillator, mandatory notices.
  • Each line carries its frequency, the date it was last done and its next deadline; anything overdue shows up on the dashboard.
  • The property record stores the star rating, its validity date and the licence numbers.

14. Property services

What your hotel offers, described once and for all.

  • A catalogue of 98 services split into 14 groups: parking, wellness, catering, leisure, reception, pets, transport, business, internet access, outdoor areas, building, safety, accessibility.
  • Each service is switched on or not, declared free, chargeable or variable, and accepts a free-text note.
  • Active services are shown on the public booking page.

15. Bar, restaurant, pool and staff

The additional functions, switched on when you need them.

  • The bar and the restaurant rely on the native Dolibarr point of sale, with table booking.
  • The pool has a register of readings and swimming lessons with sign-ups.
  • Staff have a schedule, time recording and a follow-up of their qualifications.
  • Each of these functions is shown only if you switch it on: the interface shows only what you use.

16. Links with Dolibarr

The module does not work in isolation: it integrates with the native building blocks of Dolibarr.

  • Third parties (customers) : Each stay is attached to a Dolibarr third party; the booking history stays available from the third party record.
  • Products and services : Room types, extras, board formulas and seminar rooms rely on native products and services: the catalogue, the rates and the accounts see them like any other sale.
  • Quotations and invoices : Quotation, deposit invoice and balance invoice are native documents: they follow the numbering, the PDF templates and the validation workflow of your Dolibarr.
  • Electronic invoicing : As the documents are native, issuing in Factur-X format goes through the usual chain, with no special handling for hotels.
  • Agenda and users : The staff schedule and time recording rely on Dolibarr users and their permissions.
  • Documents : Floor plans, room photos and files attached to stays are stored in the Dolibarr document tree.
