2. Dashboard (cockpit)

The reception's daily entry point.

• Real-time indicators: today's arrivals and departures, ongoing stays, free pitches, bookings to confirm, drafts, housekeeping to do, open incidents, tourist tax to remit and regulatory obligations coming due.
• List of upcoming arrivals and today's occupancy (occupied, free, to be cleaned, occupancy rate).
• Quick cross-cutting search by name, phone, e-mail or pitch.

3. Booking at the desk and online

The three-step booking engine.

• At the desk: you enter the dates, the accommodation type and the party composition (adults, children, babies), then the search shows only pitches that are actually free; an anti-double-booking check rules out any overlap.
• The price is calculated live with options and additional fees; a temporary lock (hold) protects availability during entry.
• Online booking (optional public funnel): the holidaymaker books without a Dolibarr account, with identity verification by OTP code (GDPR double opt-in), anti-brute-force and anti-mailbombing; an individual third party is created automatically.

4. Interactive campsite map

A map view of the whole grounds.

• Each pitch is positioned on the map with its real-time status (free, on hold, occupied, to be cleaned) and the common areas (swimming pool, sanitary facilities, snack bar, playground, reception…).
• Built-in map editor to create and position pitches; clicking an occupied pitch displays a warning.
• The map also serves as a location picker for housekeeping and work orders. 100% local technology, with no CDN.

5. Pitches, seasons, pricing grid and options

• Pitches and accommodation types (tent, caravan, motorhome, mobile home, chalet, lodge…) backed by Dolibarr products.
• Seasons (low, mid, high) and a multi-criteria pricing grid by type and by season.
• Options (baby/linen/towel kits, cleaning, pet, electricity, extra person, visitor…) and additional fees (booking fee, cancellation).

6. Tourist tax

• Municipal rate configurable by category and by scheme, with exemption for minors.
• Automatic calculation night by night and per occupant, carried over to the invoicing.
• Statement of the tax to be remitted to the local authority.

7. Native invoicing: quotation, deposit, balance

The entire commercial chain is 100% native Dolibarr, straight from the stay record.

• Quotation: generation of a commercial proposal covering the accommodation, options and fees; sent by e-mail and signed.
• Deposit / down payment: a deposit invoice (30% by default) when the quotation is validated or signed.
• Balance: on departure, the balance invoice picks up all the lines and deducts the deposit; re-invoicing of metered consumption (meters) for residential use.

8. Electronic invoicing (law of 1 September 2026)

• Everything billable in a stay is a native Dolibarr product or service (pitches CAMP-EMPL-…, types CAMP-TYPE-…, options CAMP-OPT-…, fees CAMP-FEE-…).
• The module is ready to issue Factur-X invoices to an accepted platform (PDP or public invoicing portal), with no specific development.

9. Check-in and check-out inventory

• Carried out on a tablet or phone (responsive screen, accordions by area): condition of each item, equipment handed over, meter readings, remarks, photos and customer signature.
• The check-out inventory automatically picks up the check-in item by item: only the first one is long, the following ones are pre-filled, with calculation of any deductions from the security deposit.

10. Arrivals / departures, housekeeping and incidents

• Screen of the day's arrivals and departures, including same-day turnovers (a departure in the morning, an arrival in the afternoon on the same pitch).
• Housekeeping: automatic assignment of tasks on departure, planning and tracking (to be cleaned, today's cleaning).
• Incidents (missing item, breakage) linked to a pitch and/or a stay, with an optional amount and conversion into a technical work order.

11. Technical work orders, meters and residential use

• Technical work orders (repairs, maintenance, troubleshooting) on a pitch or a common area, with priority, technician and leave safeguard; created directly from an incident.
• Meters and readings (water, electricity) per pitch.
• Residential use and sub-metering: re-invoicing of consumption to year-round residents.

12. Staff and HR

• Staff are based on native Dolibarr Users, with role categories (reception, housekeeping, beach/pool, entertainment, bar, technical, versatile).
• Staff scheduling and time tracking.
• Qualifications and duty rosters (bathing supervision, first aid…) with deadline monitoring and restriction of sensitive posts (e.g. running the bar).

13. Bar and restaurant (TakePOS point of sale)

• The bar and restaurant are run with Dolibarr's native cash register (TakePOS): dedicated products, adapted VAT (10% for on-site catering, 20% for alcoholic drinks), table reservation for the restaurant.
• The staff authorised to run the bar can be restricted (qualifications).
• Regulatory reminder: from 1 September 2026, the cash register software must be NF525-certified (Infocert or LNE); serving drinks requires the appropriate licence.

14. Swimming pool and swimming lessons

• Bathing supervision under the Sports Code: log (chlorine, pH, temperature, attendance); the obligations only apply where the law provides for them (paid access, MNS/BEESAN supervision).
• Swimming lessons (activatable option): time slots, capacity and remaining places, registrations and native invoicing of each registration.

15. Campsite compliance (HPA), police record and channel manager

• Register of regulatory obligations (classification, fire safety, electricity/gas/extinguisher checks, playgrounds, water quality, legionella, DUERP, mandatory displays…) with a derived status (compliant, due, overdue, to do) and deadlines within 30 days.
• Police record (declaration of travellers).
• Channel manager: synchronisation of availability with platforms (OTA), iCal import, token-protected export and import protected against SSRF attacks.
