1. Module overview

The KSIDol Reservation (Booking) module turns Dolibarr into a genuine booking engine. It lets you manage bookings for your products and services (accommodation, rooms, meeting rooms, equipment, services, time slots, etc.) by the hour, by the day, by the night or by the week, with full tracking of availability, pricing and sales documents. It relies entirely on Dolibarr's native objects: customers (third parties), catalogue products and services, quotations, orders and invoices. Beyond internal management, it offers a public online booking mini-site and synchronises with the major distribution channels (Google, Airbnb, Booking.com) as well as WooCommerce, so that all your bookings are centralised in one place and slot double-bookings are avoided.

2. Bookings dashboard

A home screen that gives an immediate overview of activity and the status of bookings.

  • Numerical summary of bookings: those entered in the software, those coming from external channels and the occupied periods.
  • History of the latest bookings with product/service, third party or source, and status.
  • Filtering by status: draft, pending, confirmed, completed, cancelled or external.
  • Quick access to detailed booking records.

3. Taking a booking

The entry wizard lets you create a booking in a few clicks from the configured products; it then materialises as a Dolibarr document.

  • Choose the customer (third party) concerned by the booking.
  • Select the rental category and the bookable product or service.
  • Specify the quantity, the arrival date and the departure date, optionally with start and end times.
  • Enter the number of people according to the configured rules.
  • Add a public note (visible to the customer) and an internal note.
  • Automatically apply, if configured, the tourist tax and breakfast (per night and per person).
  • Display the totals excl. tax, incl. tax and VAT, with the option of entering a manual price.
  • Choose to generate a quotation or an order; availability is checked before validation.

4. Bookings list and detailed record

All bookings are grouped in a list, with a full record for each one.

  • List filterable by customer or by product, with reference, product, third party, resource, dates and totals.
  • Status of each booking (draft, pending, confirmed, completed, cancelled, external).
  • Booking record with the linked source sales document and dedicated tabs (record, documents, notes, planning, services).
  • "Create an invoice" button to invoice a booking directly.
  • View a customer's or a product's bookings from their own record.

5. Occupancy planning

A visual calendar to track resource occupancy and spot availability.

  • Calendar view of occupancy by resource.
  • Filters by resource and by period (year, month, day).
  • Colour codes by product or resource for quick reading.
  • Identification of occupied and available slots.

6. Bookable products and services

This section makes a catalogue product or service bookable and precisely defines its booking rules.

  • Booking mode: by the hour, by the day, by the night or by the week.
  • Minimum and maximum duration allowed for a slot.
  • People management: minimum and maximum headcount.
  • Optional services and required resources associated with the product.
  • Buffer time before and after a booking to prepare/restore the resource.
  • Possible manual confirmation, deposit requested and base price.
  • Display colour on the planning, capacity, room type and floor.

7. Resources

Resources represent the physical or human elements mobilised by a booking (rooms, meeting rooms, equipment, teams).

  • Create and manage resources and link them to a catalogue product.
  • Associate a catalogue category to make filtering easier.
  • Define a maximum capacity (number of simultaneous people).
  • Choose a display colour on the planning and enable/disable the resource.

8. Optional services

Services are additional options offered with a booking.

  • Create services linked to an existing catalogue service.
  • Define a price excl. tax and an associated category.
  • Add a description shown when choosing the service.
  • Enable or disable the availability of each service.

9. Person types

Person types let you refine pricing according to the profile of participants (for example adults and children).

  • Define profiles with a label and a description.
  • Set a minimum, a maximum and a default value per booking.
  • Apply a price variation per person and/or per block/slot.
  • Specify how much each person counts towards capacity and whether or not to multiply the base price.

10. Availability and pricing rules

Rules orchestrate when bookings are possible and at what price.

  • Availability rules: open or close bookings over a period.
  • Pricing rules: set a price, increase or decrease by a percentage or a fixed amount, or set a fixed price incl. tax per product.
  • Fine-grained targeting: periods, days of the week, time ranges, resources, services, categories and person types concerned.
  • Priority to order the application of rules.
  • Tourist tax (amount excl. tax and VAT) applicable to products in a category.
  • Breakfast per night and per person, with an "included in the rental" option.

11. Public online booking mini-site

The module provides a public storefront that lets your customers book directly online.

  • Availability search by arrival/departure dates and number of people.
  • Presentation pages for products and rooms, with price and description.
  • Public planning by product and overall planning, without exposing customer data.
  • Booking request form protected against spam (captcha, honeypot, rate limiting).
  • Cart, validation with acceptance of the terms and conditions, and a customisable thank-you page.
  • Automatic creation of a Dolibarr order and of a customer portal access, with a confirmation email to the customer and a notification to administrators.
  • Customisation of colours, logo and branding; integration by iframe in Dolibarr's Websites module or another CMS.
  • Page and theme editor (CMS) to compose the mini-site.

12. Calendar and external channel synchronisation (iCal / ICS)

The module exchanges availability with external platforms to avoid double booking.

  • iCal (ICS) import and export per product, with URL and secure tokens/secrets.
  • Mappings between a bookable product and an external channel (Google, Airbnb, Booking.com, website).
  • Manual import of an .ics file, with a simulation (dry-run) mode before applying.
  • Automatic scheduled task that synchronises external calendars at regular intervals.
  • Synchronisation log to track imports and any errors.
  • iCal control panel: block or unblock synchronisation by product or by period, and a duplicate repair tool.

13. WooCommerce synchronisation

For online stores, the module securely receives orders coming from WooCommerce/WordPress.

  • Reception of bookings via a signed endpoint (HMAC signature) to guarantee authenticity.
  • WooBook or native WooCommerce authentication modes.
  • Connection test (ping) to check the configuration.
  • Matching of products by reference (SKU) and synchronisation based on order statuses.

14. Statistics

An analysis dashboard helps you steer booking activity.

  • Overall occupancy rate and occupancy rate per product.
  • Nights sold and average length of stay.
  • Nights per month to track seasonality.
  • Total revenue, RevPAR and revenue per period.
  • List of linked sales documents (orders and invoices) with the associated revenue.

15. Configuration and maintenance

The settings are organised in tabs to adapt the module to your business.

  • General: default document type created (quotation or order), default availability (open or closed without a rule), overbooking allowed or not, synchronisation on validation.
  • Proposals: numbering module, PDF template, automatic validation or draft, automatic PDF generation, default payment terms and method.
  • Usage rules: late cancellation window and permission (or not) to change dates after confirmation.
  • Synchronisation, WooCommerce, Public pages, Website and CMS tabs for the storefront and exchanges.
  • Technical tab: non-destructive updates of the schema, hooks/triggers and the scheduled task.
  • Data retention when the module is disabled, and configuration cleanup/reset tools.

16. Links with Dolibarr

The module does not work in isolation: it integrates with the native building blocks of Dolibarr.

  • Third parties (customers) : Each booking is linked to a Dolibarr customer. A customer's bookings can be viewed from their record, and the public form automatically creates the third party with a customer portal access.
  • Products and services (catalogue) : Bookable products, resources and services rely on the products and services of the Dolibarr catalogue and on their categories, without duplicating the reference data.
  • Commercial proposals (quotations) : Taking a booking can generate a Dolibarr quotation, using the chosen numbering and PDF template, with automatic validation and PDF generation if desired.
  • Customer orders : A booking can create an order (with configurable status and warehouse), in particular automatically after a booking made on the public mini-site.
  • Invoices : A "Create an invoice" button lets you invoice a booking. VAT, tourist tax and breakfast are carried over as billable lines.
  • Agenda / planning : Resource occupancy feeds a planning, and availability is shared with external calendars via iCal (ICS) import/export.
  • Bank and payments : The module relies on Dolibarr's Stripe and PayPal payment modules and automatically detects payments from the documents; the default payment terms and methods are configurable.
  • Documents and extra fields : The generated PDFs are stored in Dolibarr's documents, and the extra fields (extrafields) are propagated to quotations, orders and invoices by a trigger.
  • Dolibarr Websites module : The booking form can be integrated by iframe into a page of Dolibarr's Websites module or into another CMS.
  • Scheduled tasks (cron) : The module installs a Dolibarr scheduled task that automatically synchronises the iCal feeds at regular intervals.
